TERMS AND CONDITIONS

Terms and Conditions

These Terms and Conditions govern the participation, sponsorship, and exhibition during Corporality Events organised by Corporality Global (“Organiser”). By participating in the event, attendees, exhibitors, and sponsors agree to be bound by these terms.

1. Event Overview

Corporality Events, including the Global B2B Conference, serve as a premier platform for industry leaders, businesses, and professionals to engage in meaningful networking, share expertise, showcase their innovations, and explore emerging trends within their industries. These events are meticulously designed to foster knowledge exchange, build business connections, and offer opportunities for participants to learn from thought leaders through keynote presentations, workshops, and discussions.

Target Attendance

The event is designed with the objective of attracting 200 or more attendees; however, this figure is an aspirational target and does not constitute a guarantee or representation that 200 participants will attend the event. Factors beyond the Organiser’s control, such as market conditions, participant availability, and unforeseen circumstances, may affect the actual number of attendees. The Organiser will not be held liable for any perceived shortfall in attendee numbers.

Sponsors, exhibitors, and attendees acknowledge and agree that the value and success of the event are not solely contingent upon achieving the target attendance, but also upon the quality of the networking, business interactions, and knowledge shared during the event.

Disclaimer of Liability

The Organiser expressly disclaims any and all liability for any claims, damages, or losses that may arise from the actual attendance falling below the participant target. Participation in the event by sponsors, exhibitors, and attendees is undertaken with the understanding that attendance numbers may fluctuate, and the Organiser provides no guarantees or warranties regarding the same.

2. Participants

By registering for and attending the event, all participants, including attendees, speakers, panellists, and other individuals engaged in event activities, agree to comply with the following terms and conditions:

2.1. Registration and Fees

Participants are required to complete the registration process and pay any applicable fees as stipulated by the Organiser. All registration fees are non-refundable except in circumstances where the event is cancelled by the Organiser. The Organiser reserves the right to deny registration or attendance to any participant at its sole discretion, including in cases of non-payment, inappropriate conduct, or any violation of these terms.

2.2. Attendance

While the event targets an audience of 200+ attendees, this figure is a projected goal and does not constitute a guarantee of actual attendance. The Organiser makes no warranties or representations as to the number of participants and disclaims any liability for any discrepancies between projected and actual attendance figures. By registering, participants agree that they are attending voluntarily and will not hold the Organiser liable for any outcomes, financial or otherwise, related to the actual number of attendees.

2.3. Conduct and Behavior

Participants are expected to conduct themselves in a professional, courteous, and respectful manner at all times during the event. The Organiser reserves the right to remove or refuse entry to any participant whose behaviour is deemed inappropriate, disruptive, or in violation of the event's guidelines or the laws of the venue. Any costs or damages arising from such removal will be borne solely by the participant.

2.4. Liability Waiver

Participants attend the event at their own risk. The Organiser is not responsible for any personal injury, loss, theft, or damage to property that occurs during the event. Participants release and hold harmless the Organiser, its agents, employees, contractors, and affiliates from any and all claims, damages, or liabilities arising from or related to participation in the event, including but not limited to incidents involving travel to or from the event, accommodations, or activities occurring at the event venue.

2.5. Event Changes or Cancellation

The Organiser reserves the right to modify or cancel the event at any time for any reason, including but not limited to circumstances beyond the Organiser’s control, such as acts of God, government restrictions, public health concerns, or other unforeseen events. In the event of cancellation, participants will be notified as soon as reasonably practicable, and any refunds of registration fees, if applicable, will be issued at the sole discretion of the Organiser. The Organiser is not responsible for any other costs or expenses incurred by participants, including travel or accommodation expenses.

2.6. Photography and Recording

By attending the event, participants consent to being photographed, filmed, or recorded by the Organiser or its authorised agents. The Organiser reserves the right to use such images or recordings for promotional or marketing purposes without any compensation to the participants. Participants waive any rights of privacy or publicity with respect to the use of their image or likeness in such promotional materials.

2.7. Data Privacy

Participants acknowledge and agree that their registration information may be collected and processed by the Organiser for event-related purposes, including communication, marketing, and post-event follow-up. The Organiser will handle personal data in accordance with applicable data protection laws. Participants may opt out of receiving marketing communications by following the instructions provided in such communications.

2.8. Dispute Resolution

Any disputes arising from participation in the event will be resolved through good faith negotiations between the parties. If an amicable resolution cannot be reached, the dispute shall be submitted to mediation prior to the commencement of any legal proceedings. Any litigation arising from or related to the event must be brought in the courts located in New South Wales, Australia, and participants consent to the exclusive jurisdiction of such courts.

2.9. Governing Law

These terms are governed by and construed in accordance with the laws of New South Wales, Australia, without regard to its conflict of law principles. Any disputes or claims arising under these terms shall be subject to the exclusive jurisdiction of the courts located in Sydney.

By registering for the event, participants confirm that they have read, understood, and agree to these Terms and Conditions. Failure to comply with these terms may result in removal from the event without refund. 3. Exhibitors

Exhibitors participating in Corporality Events, including the Global B2B Conference, agree to the following terms and conditions, which govern their participation in the event:

3.1. Exhibitor Registration and Fees

Exhibitors are required to complete the registration process and pay all applicable fees by the deadlines specified by the Organiser. Failure to pay the required fees in full or submit required documentation may result in forfeiture of the exhibitor’s space without refund. Exhibitors acknowledge that space allocation is at the sole discretion of the Organiser, and requests for specific booth locations or modifications are not guaranteed. All registration fees are non-refundable except in the event of cancellation by the Organiser.

3.2. Booth Setup and Display

Exhibitors are responsible for the setup, maintenance, and dismantling of their booths in accordance with the event schedule and guidelines provided by the Organiser. All exhibits must comply with safety regulations and venue rules. The Organiser reserves the right to inspect and approve booth displays to ensure compliance with event standards and may require modifications at the exhibitor’s expense. Exhibitors agree that the Organiser is not liable for any loss, damage, or delay in booth setup caused by external factors, including but not limited to shipping, logistics, or venue limitations.

3.3. Exhibitor Conduct and Representation

Exhibitors are required to maintain professional conduct during the event and ensure that all staff members, representatives, and materials reflect a high standard of professionalism. Exhibitors must refrain from engaging in any activities or practices that could harm the reputation of the event or interfere with other exhibitors, sponsors, or attendees. The Organiser reserves the right to remove any exhibitor or exhibitor materials that it deems inappropriate, offensive, or in violation of these terms. Exhibitors are responsible for any damage caused to their booth space or the venue.

3.4. Liability and Insurance

Exhibitors participate in the event at their own risk. The Organiser assumes no responsibility or liability for any loss, damage, injury, or theft related to exhibitor participation. Exhibitors are strongly encouraged to obtain their own insurance coverage, including liability, property, and personal injury insurance, to cover any potential risks during the event. Exhibitors are solely responsible for any claims, damages, or liabilities arising from their participation, including any accidents or injuries occurring at their booth. Exhibitors agree to indemnify and hold harmless the Organiser, its affiliates, and the venue from any and all claims, losses, or damages arising from or in connection with their participation in the event.

3.5. Event Changes or Cancellation

The Organiser reserves the right to modify the event schedule, location, or layout at any time for operational, safety, or logistical reasons. If the event is cancelled by the Organiser, exhibitors will be entitled to a refund of their registration fees; however, the Organiser is not responsible for any other costs incurred by exhibitors, including but not limited to travel, shipping, or accommodation expenses. In the event of rescheduling, exhibitors’ participation will be automatically transferred to the new event date unless otherwise stated by the Organiser.

3.6. Marketing and Promotions

Exhibitors grant the Organiser the right to use their company name, logo, and related materials in event marketing and promotional materials, including event programs, websites, social media, and press releases. Exhibitors acknowledge that their participation in the event may result in photographs, videos, or other media coverage featuring their booth, products, or representatives, and consent to the use of such media by the Organiser for promotional purposes without compensation.

3.7. Restrictions on Sales and Solicitation

Exhibitors are prohibited from engaging in any unauthorised selling or solicitation of products or services outside of their designated booth space. Any sales activities must comply with the laws and regulations of the jurisdiction where the event is held. Exhibitors are solely responsible for ensuring that their products or services meet all legal and regulatory requirements, including any necessary permits, licences, or tax obligations.

3.8. Data Privacy and Confidentiality

Exhibitors may collect information from attendees at their booths in compliance with applicable data protection laws and regulations. Exhibitors agree not to misuse or disclose any confidential information obtained during the event, including information shared by other exhibitors, sponsors, or participants. The Organiser is not responsible for any data collected by exhibitors and disclaims all liability for any misuse or breach of such data by exhibitors.

3.9. Force Majeure

The Organiser shall not be liable for any delay or failure in performing its obligations under these terms if such delay or failure is caused by circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, strikes, government restrictions, or public health emergencies. In such circumstances, the Organiser will make reasonable efforts to notify exhibitors of any changes or cancellations as soon as practicable.

3.10. Dispute Resolution and Governing Law

Any disputes arising between exhibitors and the Organiser shall first be addressed through good faith negotiations. If the parties are unable to resolve the dispute amicably, it shall be submitted to mediation before proceeding to any legal action. The laws of New South Wales, Australia shall govern these terms, and any legal disputes must be brought before the courts of New South Wales, with exhibitors consenting to the jurisdiction of such courts.

By registering as an exhibitor, you acknowledge that you have read, understood, and agree to these Terms and Conditions. Failure to comply with these terms may result in termination of your participation in the event without refund or further recourse.

4. Sponsors

Sponsorship of Corporality Events, including the Global B2B Conference, is governed by the following terms and conditions, which are binding upon the sponsor’s acceptance of a sponsorship agreement with the Organiser:

4.1. Sponsorship Agreement and Fees

Sponsors are required to execute a formal sponsorship agreement with the Organiser and pay the applicable sponsorship fees as outlined in the agreement. Sponsorship fees are non-refundable once paid, except in the event of cancellation of the event by the Organiser. Failure to make timely payments in accordance with the agreed-upon schedule may result in the termination of the sponsorship and forfeiture of any benefits outlined in the agreement, without any refund or liability on the part of the Organiser.

4.2. Sponsorship Benefits

The specific benefits and deliverables for each sponsorship package are detailed in the sponsorship agreement and may include, but are not limited to, logo placement, advertising opportunities, speaking slots, and exposure through event marketing channels, including social media, websites, and email campaigns. The Organiser will make reasonable efforts to deliver the agreed-upon benefits; however, the sponsor acknowledges and agrees that the Organiser does not guarantee any specific results from the sponsorship, such as a minimum number of impressions, leads, or sales.

4.3. Target Attendance and Event Exposure

The event is targeted to attract 200+ attendees, but this is a projected goal and does not constitute a warranty or guarantee of actual attendance numbers. The Organiser disclaims any responsibility or liability in the event that actual attendance falls below this target. The sponsor acknowledges that sponsorship value is derived not solely from the number of attendees but from the overall quality and nature of the networking, business interactions, and promotional exposure provided at the event. The sponsor agrees that it will not hold the Organiser liable for any discrepancies between projected and actual attendance.

4.4. Use of Sponsor Materials and Intellectual Property

Sponsors grant the Organiser a non-exclusive, royalty-free, worldwide licence to use the sponsor’s name, logo, and any other materials provided for the purpose of promoting the event. This includes, but is not limited to, use in event brochures, websites, social media platforms, email marketing campaigns, and signage at the event. The sponsor warrants that all materials provided to the Organiser are owned by the sponsor or that the sponsor has obtained all necessary rights, licences, and permissions to use such materials. The sponsor agrees to indemnify and hold harmless the Organiser from any claims or liabilities arising from the use of sponsor materials, including claims of intellectual property infringement.

4.5. Marketing and Social Media Exposure

As part of the sponsorship benefits, the sponsor will receive exposure through the Organiser’s various marketing channels, including social media platforms, newsletters, and the event website. The specific extent and nature of such exposure are outlined in the sponsorship package. The Organiser does not guarantee any specific level of engagement, audience reach, or conversions resulting from this exposure. The Organiser will make reasonable efforts to adhere to the agreed-upon promotional schedule but reserves the right to modify or adjust promotional timelines at its discretion.

4.6. Sponsor Conduct and Representation

Sponsors are expected to conduct themselves in a professional manner throughout the event. The Organiser reserves the right to withdraw sponsorship privileges or remove any sponsor materials from the event if, in its sole discretion, the sponsor’s conduct, messaging, or materials are deemed inappropriate, offensive, or in violation of the event’s standards or the laws of the venue. Any costs or damages arising from such removal will be borne solely by the sponsor.

4.7. Limitation of Liability

The Organiser shall not be held liable for any direct, indirect, incidental, or consequential damages arising from the sponsor’s participation in the event, including but not limited to lost profits, lost opportunities, or reputational harm. The sponsor assumes all risks associated with its participation in the event and agrees to hold the Organiser harmless from any claims, liabilities, or damages arising out of the sponsorship, including claims arising from third-party actions, exhibitor or attendee behaviour, or any force majeure events that may impact the event.

4.8. Event Changes or Cancellation

he Organiser reserves the right to modify the event schedule, location, format, or scope at any time for reasons beyond its control, including but not limited to acts of God, government restrictions, public health emergencies, or other unforeseen circumstances. In the event of a complete cancellation of the event by the Organiser, the sponsor may be entitled to a partial or full refund of the sponsorship fees at the Organiser’s discretion. However, the Organiser is not liable for any other expenses incurred by the sponsor, including but not limited to travel, lodging, or marketing costs. If the event is rescheduled, the sponsorship will be applied to the rescheduled event, unless otherwise agreed in writing.

4.9. Insurance and Liability

Sponsors are responsible for obtaining and maintaining any necessary insurance coverage, including general liability and property insurance, to cover their participation in the event. The Organiser assumes no responsibility for any loss, damage, or injury to persons or property resulting from the sponsor’s participation in the event. Sponsors agree to indemnify, defend, and hold the Organiser, its affiliates, and the venue harmless from any and all claims, losses, or damages arising from or in connection with the sponsor’s participation in the event, including any liability arising from personal injury, property damage, or breach of these terms./

4.10. Confidentiality

Any confidential information disclosed by the Organiser to the sponsor in connection with the event must be kept strictly confidential and may not be used for any purpose other than the sponsor’s participation in the event. The sponsor agrees not to disclose such information to any third parties without the prior written consent of the Organiser.

4.11. Force Majeure

The Organiser shall not be liable for any failure or delay in the performance of its obligations under this agreement due to circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, strikes, government restrictions, pandemics, or other emergencies. In such cases, the Organiser will make reasonable efforts to reschedule the event or otherwise accommodate the sponsor’s participation, but no refunds will be issued unless the event is entirely cancelled.

4.12. Governing Law and Dispute Resolution

This agreement is governed by and shall be construed in accordance with the laws of New South Wales, Australia, without regard to its conflict of law principles. Any disputes arising out of or relating to the sponsorship agreement shall first be attempted to be resolved through good faith negotiations. If the parties are unable to reach a resolution, the dispute shall be submitted to mediation prior to any legal proceedings. Any litigation must be brought in the courts located in New South Wales, Australia, and the sponsor consents to the exclusive jurisdiction of such courts.

By entering into a sponsorship agreement, sponsors confirm that they have read, understood, and agree to these terms and conditions. Failure to comply with these terms may result in the termination of the sponsorship agreement without refund or further liability.

5. Event Cancellation or Changes

5.1. Organiser’s Right to Modify or Cancel

The Organiser reserves the right, at its sole discretion, to modify, reschedule, postpone, or cancel the event for any reason, including but not limited to unforeseen circumstances such as natural disasters, public health concerns, governmental restrictions, venue issues, or other events beyond the Organiser’s control. In the event of any such modification or cancellation, the Organiser will make reasonable efforts to notify all participants, exhibitors, and sponsors as soon as practicable.

5.2. Refunds and Liability in Case of Cancellation

If the event is cancelled by the Organiser, participants, exhibitors, and sponsors may be entitled to a partial or full refund of their fees, at the Organiser's discretion, depending on the timing of the cancellation. However, the Organiser shall not be responsible for any indirect, incidental, or consequential damages, including but not limited to costs incurred for travel, accommodation, promotional activities, or other expenses incurred by participants, exhibitors, or sponsors in connection with the event. The Organiser's total liability in the case of cancellation is limited to the amount of fees paid by the participant, exhibitor, or sponsor.

5.3. No Guarantee of Attendance

The Organiser aims to achieve a target attendance of 200+ attendees, but this figure is a projection and not a guarantee. The Organiser makes no warranties or representations regarding the actual number of attendees at the event. Participants, exhibitors, and sponsors agree that they will not hold the Organiser liable for any discrepancies between the anticipated and actual attendance numbers.

5.4. Event Modifications and Revisions

The Organiser reserves the right to modify any aspect of the event, including but not limited to the schedule, location, speaker lineup, agenda, or format, as necessary to ensure the smooth running of the event. In such cases, no refunds or compensation will be provided unless the changes significantly alter the nature of the event. Participants, exhibitors, and sponsors will be informed of any significant changes to the event as soon as they are finalised.

5.5. Waiver of Claims

Participants, exhibitors, and sponsors agree to waive any claims they may have against the Organiser for damages or losses resulting from the cancellation, rescheduling, or modification of the event. This waiver includes, but is not limited to, claims for lost profits, lost opportunities, and any indirect or consequential damages related to the participant's, exhibitor's, or sponsor's involvement in the event.

By agreeing to participate in the event, all participants, exhibitors, and sponsors acknowledge that they have read, understood, and accepted these terms regarding event cancellation or changes.

6. Limitation of Liability

The Organiser is not responsible for any indirect, incidental, or consequential losses arising from participation, sponsorship, or exhibition at the event. This includes but is not limited to, travel expenses, lost profits, or other damages.

7. Force Majeure

The Organiser is not liable for any failure or delay in fulfilling its obligations under these terms due to causes beyond its reasonable control, including but not limited to acts of God, government restrictions, natural disasters, pandemics, or any other unforeseen events.

8. Data Protection & Privacy

The Organiser respects your privacy and is committed to protecting your personal information. By registering for the event, you consent to the collection and use of your data for event-related purposes, including communication, marketing, and post-event follow-ups. Sponsors and exhibitors may also receive access to certain attendee information, but only as permitted by applicable laws and policies.

8.1. Compliance with Data Protection Laws

Corporality Events, including the Global B2B Conference, is committed to protecting the privacy and personal data of all participants, exhibitors, sponsors, and other attendees. The Organiser complies with all applicable data protection and privacy laws, including but not limited to the General Data Protection Regulation (GDPR) and other relevant legislation, to ensure that your personal information is handled responsibly and securely.

8.2. Data Collection and Usage

The Organiser collects personal data from participants, exhibitors, sponsors, and attendees for the purposes of event registration, communication, and administration. This data may include, but is not limited to, your name, contact information, company details, job title, and payment information. By registering for or participating in the event, you consent to the Organiser's collection and use of this data for the following purposes:

Facilitating event logistics, including registration, access, and participation.

Communicating event-related information, updates, and promotional materials.

Processing payments and managing financial transactions.

Creating attendee lists for networking purposes, which may be shared with event sponsors and exhibitors (with your prior consent).

Marketing future events and services organised by the Organiser (subject to your opt-in preferences).

8.3. Data Sharing with Third Parties

The Organiser may share your personal data with carefully selected third parties for the purposes of event administration and promotion. These third parties may include event sponsors, exhibitors, service providers (e.g., payment processors, event platforms), and affiliated companies involved in organising the event. The Organiser ensures that all third parties handling personal data adhere to appropriate security and data protection standards. Personal data will not be sold or shared for any purpose other than those specified in this policy.

8.4. Marketing and Communications

By registering for the event, participants, exhibitors, and sponsors may receive communications from the Organiser, including event updates, promotional materials, and newsletters. You may opt-out of receiving marketing communications at any time by following the unsubscribe instructions included in the emails or by contacting the Organiser directly. However, essential event-related communications may still be sent to you even if you opt-out of promotional materials.

8.5. Consent to Data Use and Photography

As part of your participation in the event, you may be photographed or recorded in video and audio formats during event activities. By attending the event, you consent to the Organiser’s use of your image, voice, and likeness for promotional, marketing, and archival purposes. These materials may be used in digital and print formats, including but not limited to social media, websites, brochures, and event recaps. If you do not wish to be photographed or recorded, please notify the Organiser in advance or upon arrival at the event.

8.6. Data Security

The Organiser employs reasonable technical and organisational measures to protect the personal data collected from unauthorised access, loss, or misuse. However, no data transmission over the internet or storage system can be guaranteed to be 100% secure. While the Organiser takes all necessary precautions, participants, exhibitors, and sponsors acknowledge that they provide personal data at their own risk.

8.7. Retention of Personal Data

The Organiser will retain personal data for as long as necessary to fulfil the purposes for which it was collected, including compliance with legal, accounting, or reporting obligations. Data will be securely deleted or anonymised once it is no longer needed for these purposes, in accordance with applicable laws and regulations.

8.8. Rights of Participants

Participants, exhibitors, sponsors, and attendees have the right to access, correct, update, or request the deletion of their personal data held by the Organiser. You also have the right to object to or restrict certain processing activities and to request data portability, where applicable. Requests for data access or modifications should be made in writing to the Organiser’s data protection officer at connect@corporality.global.

8.9. International Data Transfers

If personal data is transferred outside of your country of residence, the Organiser ensures that appropriate safeguards are in place to protect the privacy and security of your data, in accordance with applicable data protection laws.

8.10. Breach Notification

In the unlikely event of a data breach that compromises personal information, the Organiser will take appropriate steps to mitigate the breach and will notify affected individuals and regulatory authorities in accordance with applicable data protection laws.

8.11. Changes to the Privacy Policy

The Organiser reserves the right to update or modify this Data Protection & Privacy Policy at any time. Any changes will be communicated to participants, exhibitors, sponsors, and attendees, and the revised policy will be made available on the event’s website. Continued participation in the event following any updates constitutes acceptance of the revised policy.

By registering for and attending the event, participants, exhibitors, and sponsors acknowledge that they have read, understood, and agreed to this Data Protection & Privacy Policy.

9. Photography & Videography

By attending the event, participants, exhibitors, and sponsors acknowledge that they may be photographed or recorded during the event. These images and videos may be used for promotional purposes by the Organiser without any compensation or notice.

10. Dispute Resolution

Any disputes arising from participation, sponsorship, or exhibition at the event will be resolved through good faith negotiations. If necessary, disputes will be settled through mediation before taking legal action.

11. Governing Law

These terms are governed by the laws of New South Wales, Australia and any legal proceedings must take place within New South Wales courts.

By registering, exhibiting, or sponsoring at Corporality Events, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
